POS Users

POS Users are the individual staff records used to sign in on the till. Each user can be linked to a POS role, have their own hourly rate, use security methods such as PIN or finger vein, and be restricted from specific terminals.

Edit tab

The Edit tab stores the main user details.

  • Reference: internal user code, for example 003.
  • Name: the user name shown on POS, for example JANE.
  • Hourly Rate: used for labour and attendance costing.
  • Role: the POS role assigned to that user, for example MANAGER.
  • Show User Button: controls whether the user appears as a button on the POS login screen.
  • Driver: marks the user as a driver where relevant.

Security tab

The Security tab controls how the user signs in or verifies actions on POS.

Examples of security method types include:

  • pin
  • FINGERVEIN

Each security row includes:

  • Type: the security method.
  • Key: the PIN code or biometric token.
  • Compulsory: whether that method is required for the user.

Use Add to add another security method to the user.

A user can have more than one security method, for example a PIN and a biometric method, depending on the hardware and security policy in use.

Excluded Terminals tab

The Excluded Terminals tab lets you block a user from logging into specific tills.

  1. Open the POS user.
  2. Go to Excluded Terminals.
  3. Click Add.
  4. Select the terminal to exclude, for example POS 008.
  5. Save the user.

This is useful when a staff member should only work on certain terminals or areas.

Audit tab

The Audit tab records changes made to the POS user record so you can review who changed the setup and when.

When to use POS user settings

  • Use roles to control what the user is allowed to do.
  • Use security methods to control how they sign in.
  • Use excluded terminals to keep users off tills they should not access.
  • Use hourly rate for labour reporting where staff costing is tracked.
