Customers

The Customers module lets you manage customer account details, balances, in-house charging, loyalty, addresses, security methods, and customer history from one record.

Customer record overview

At the top of the customer record you can quickly see the current Balance and Points. The main tabs then break the account into separate areas such as Edit, Purses, History, Transactions, Loyalty, Addresses, Security, Accounting, Links, and Audit.

Edit tab

The Edit tab stores the main customer details and account defaults.

  • Reference: internal customer reference.
  • Name: customer display name.
  • Email and Phone: contact details.
  • Comments: free text notes.
  • Group: the customer group this account belongs to.
  • Expiry: when the account should no longer be used.
  • Date Of Birth: optional customer DOB.
  • Time Profile: when the account can be used.
  • Type: customer account type.
  • Registered, Is Vip, Consent Email, and Consent Telephone: account and consent settings.
  • Image: optional customer photo.

Purses tab

The Purses tab controls stored balances and purse-level limits for the customer.

  • Description: purse name, such as default.
  • Credit Limit and Debit Limit: spending and loading limits for that purse.
  • Balance: current purse balance.
  • Allow Lodgement: controls whether funds can be added.
  • Default: sets the main purse for the account.

Use Add Purse to create additional purses where needed.

History tab

The History tab shows account-level financial adjustments and balance changes over time.

This is useful for reviewing manual adjustments, corrections, and balance movements.

Transactions tab

The Transactions tab shows sales activity linked to the customer account.

  • Input Date
  • Transaction Date
  • Type
  • Comments
  • Amount

This helps you review what the customer has spent and when transactions were recorded.

Loyalty tab

The Loyalty tab shows loyalty credits and debits linked to the customer account.

  • Created
  • Trans Type
  • Credit
  • Debit
  • Comments

Use Adjust Loyalty when loyalty points need to be manually corrected or awarded.

Addresses tab

The Addresses tab stores one or more customer addresses.

Use Add Address to create additional addresses for the same customer account, then manage them from the list.

Security tab

The Security tab stores security methods linked to the customer, such as PIN access.

  • Type: for example pin.
  • Key: the actual security value.
  • Compulsory: whether the method must be used.

Use Add Method to add a new security method.

Accounting tab

The Accounting tab is used for external account mapping where integrations are enabled.

If no accounting integration is connected, this area may show a message such as No xero token.

Links and Audit

The Links tab is used for related account links and integrations, while the Audit tab records the change history for the customer record.

FAQ

What is the difference between History and Transactions?

History is usually used for account adjustments and balance movements, while Transactions shows actual sales activity linked to the customer account.

Can a customer have more than one address?

Yes. The Addresses tab allows multiple addresses to be stored for the same customer record.

What is a purse?

A purse is a balance container within the customer account. It can hold its own limits, lodgement settings, and current balance.

Why might the Accounting tab show an error message?

If the accounting integration has not been connected or authorised, the tab may show a message indicating the token or connection is missing.
