Office Roles
Office Roles control what a back office user is allowed to access in Tapa Office. A role can define the role name, permission level, branch access, and specific restricted areas across modules such as Organisation and TapaPay.
Edit tab
The Edit tab stores the basic role details.
- Description: the office role name, for example Owner.
- Level: the role level value used by the system.
Use this tab when creating a new office role or changing the role name.
Branch Access tab
The Branch Access tab controls which branches users with this office role can access.
- Open the office role.
- Go to Branch Access.
- Click Add Branch.
- Select the branch or branches to allow, for example Restaurant.
- Save the role.
This is useful when a back office user should only be able to work in selected sites.
Restrictions tab
The Restrictions tab controls which back office areas the role can access or be restricted from, depending on your setup.
The restriction picker groups permissions by area and display name. Examples include:
- Organisation > Companies
- Organisation > Locations
- Organisation > Organisation
- Organisation > Terminals
- Payments > Onboarding
- Payments > TapaPay Balance Accounts
- Payments > TapaPay Disputes
- Payments > TapaPay Payments
- Payments > TapaPay Payouts
- Payments > TapaPay Refunds
To add a restriction:
- Open the office role.
- Go to Restrictions.
- Click Add Restriction.
- Search or browse the permission list.
- Select the required areas or functions.
- Save the role.
Office role restrictions are broader than POS role restrictions. They apply to Tapa Office modules and admin areas rather than till functions.
When to use office roles
- Create different roles for owners, managers, finance users, and operational staff.
- Use branch access to limit users to the sites they are responsible for.
- Use restrictions to protect sensitive office areas such as company setup, terminals, and TapaPay sections.
