Pay By Link

Pay By Link lets you take secure card payments from customers without them being physically present. You create a payment link for a fixed amount, send it to the customer, and they complete payment on a secure checkout page.

What Pay By Link can be used for

• Taking payment for a phone order
• One-off or ad-hoc charges
• Advance payment for a booking or private event
• Sending a payment request after a tab or reservation
• Settling outstanding balances after a visit

Important limitations

• Payments do not adjust the customer’s account balance.
• Payments are not transferred to or visible on the POS as credit, deposits or outstanding balances.
• Pay By Link payments cannot be redeemed against an open POS tab or table.
• Partial payments are not supported. Each link must be paid in full in a single transaction.

How Pay By Link works

1. Create a payment link for a fixed amount.
2. A secure, unique link is generated.
3. Send the link to your customer.
4. The customer pays the full amount online.
5. The payment is completed and recorded.

Once paid, the link cannot be reused.

Create a payment link

Option 1. Create from Payments

1. Open Payments, then select Payment Links.
2. Click NEW.
3. Enter the required details:
   • Ref: Internal reference for the payment
   • Description: What the payment is for
   • Amount: Full amount to be paid
   • Select Customer: Optional, used for tracking and confirmation emails
   • Expiry Date: Defaults to one month from the current date
   • Due Date: Optional
4. Click Save.

Option 2. Create from a customer record

1. Open Customers.
2. Search for an existing customer or create a new one.
3. Open the customer record.
4. From Tools, select Create Payment Link.
5. Complete the payment details.
6. Click Save.

Send the payment link

Send by email

1. Select Send.
2. Confirm the customer email address.
3. Enter a message.
4. Send the payment link.

Copy the link

1. Select Copy.
2. Copy the payment link URL.
3. Share it manually through WhatsApp, SMS, messaging apps or another email service.

Email notifications

When the payment completes successfully, the customer receives a confirmation email and the linked branch also receives a confirmation email.

Payment statuses

• Unpaid
• Paid
• Overdue
• Expired
• Cancelled

Security

• Card details are never visible to staff.
• Payments are processed through secure, compliant providers.
• No sensitive card data is shared through email or messages.
